Terms and Conditions

The following Terms and Conditions are essential for individuals who wish to book trekking, expedition, or travel packages with Scenic Nepal Treks and Expedition. These terms outline the procedures for booking confirmation, payment and refund systems, cancellation policies, and any additional charges as per our policies. We strongly advise you to read and fully understand these conditions before confirming any bookings. These Terms and Conditions constitute a legally binding contract between you, the client, and Scenic Nepal Treks and Expedition, which governs the services we provide. The details are outlined as follows:


Reservations and Payment

  • A 20% non-refundable deposit is required at the time of booking for trekking and tour reservations.
  • The final payment is due upon your arrival in Kathmandu at the Scenic Nepal Treks and Expedition office.
  • Group Leaders: For groups of 15 or more paying clients, the group leader travels for free. For groups of 10 or more paying clients, the group leader will receive a 50% discount (excluding flight and government fees).
  • Payments are accepted via credit card; however, an additional 4.7% processing fee (credit card commission/bank charge) will be applied.
  • Bank service charges incurred during the deposit process must be borne by the client.

Travel Insurance

  • Travel insurance is mandatory for all clients participating in any tour. It should cover the full duration of the trip and include protection for personal injury, medical expenses, repatriation costs, helicopter evacuation, loss of luggage, and more.

  • Personal Travel Insurance is not included in the quoted prices for trekking and tours. While we make every effort to ensure your safety, it is a condition of booking that clients take out a personal travel insurance policy. We recommend obtaining "Trip Cancellation and Medical Insurance" prior to arrival in Kathmandu, particularly for those undertaking high-altitude treks. Such insurance should also cover transportation costs in the event of a helicopter or surface evacuation.

  • Note: We do not sell insurance policies, but at your request, we can suggest some of the most commonly purchased policies by our previous clients.

Cancellation Policy

  • Cancellations of confirmed bookings must be submitted in writing (via fax or email) at least 1 week before the scheduled departure date.
  • A cancellation fee of US$ 300 (the amount paid as a deposit) will apply for any cancellations.

Pricing

  • Price Adjustments: Due to circumstances beyond our control, such as fluctuations in foreign exchange rates, increases in airline fees, hotel rates, or government-imposed charges, we reserve the right to adjust tour prices. While we strive to avoid price increases, we cannot be held liable for these changes.

Risks & Liabilities

  • While we are committed to providing the highest quality services to ensure a memorable and smooth journey, all programs are conducted in accordance with the laws and regulations of Nepal.

  • Scenic Nepal Treks and Expedition, along with its affiliated organizations, shall not be held responsible for any changes to the itinerary caused by unavoidable circumstances, such as government restrictions, landslides, road blockages, floods, snow, political issues (e.g., strikes), flight cancellations, delays, illness, or accidents. Any additional costs incurred due to such circumstances will be the responsibility of the client and must be settled on-site.

Passport and Visa Requirements

  • All clients are required to have a valid passport with at least 6 months of validity from the date of return.

  • Nepalese visas can be obtained at the Nepalese Consulate in your home country or upon arrival at Kathmandu Airport. The cost of the visa is the responsibility of the client.
